This document explains the two available methods for managing Intray Security: centrally as an administrator, and individually as a standard user. It covers how to grant and remove access to intrays, and what each role can control.
Method 1 - Via Admin Tab
Step 1: Access the Intray Security Area as an Administrator
As an administrator, open the Admin tab, then navigate to the Users and Groups section. Within this section, select In-Tray Security to open the administration screen for managing intray access.
Step 2: Assign or Remove Access to a User’s Intray (Admin View)
On the In-Tray Security screen, the left-hand panel displays the list of users whose intrays can be managed, and the right-hand panel shows who currently has access to the selected intray.
Select the relevant user on the left to manage access to that user’s intray. On the right, choose which users should have access and specify the permissions you want to grant, such as the ability to open, edit, delete, and index items in that intray. You can also remove existing access for any user if it is no longer required.
Method 2 - Via User's Intray
Step 1: Open Intray Security as a Standard User
As a standard user, you can manage who has access to your own intray only. To do this, go to the application toolbar and select Security. This opens a similar security window.
In this user-level window, there are no names listed on the left-hand side, because it applies solely to your personal intray. The focus here is simply: who do you want to have access to your intray?
Step 2: Review and Update Access to Your Own Intray
Within the user-level Intray Security window, review the list of people who currently have access to your intray and their permissions. For example, you might see that person A is allowed to open and edit documents in your intray.
If you no longer want person A to have access, remove their permissions or delete their entry from the list. Once you have made the necessary changes, select Save and Close to apply the updates and exit the security window.
