Admin - Adding users to Virtual Cabinet (Video)

 

This article explains the different methods an administrator can use to add new users to Virtual Cabinet, including creating a user from a blank profile, copying an existing user’s profile, and importing users from Active Directory.

 

Open the User Administration Area

As an administrator, go to the Admin tab and open the Users section to view the current list of users.

 

Option 1: Add a User from a Blank Profile

Select Add to create a completely new user profile. Enter the following details for the new user:

  • Username
  • First name and Last name
  • Password
  • Whether Two-Factor Authentication (2FA) should be enabled
  • The Access Profile (e.g. administrator or standard user)
  • Whether the user should have Intray enabled

Then go to the Member Of tab, which controls the groups the user belongs to.

In most Virtual Cabinet systems, users should be added to the Everyone group to provide access to the general functionality and most cabinets. Ensure the new user is added to this group, along with any other appropriate groups.

 

Option 2: Copy an Existing User Profile

If the new starter has a similar role to an existing team member, you can create the account by copying that person’s profile.

Select the existing user and choose to Copy their profile. 

This will copy:

  • The groups the existing user is a member of
  • Access settings (for example, standard user vs admin)
  • Other configuration such as document opening, indexing options, and related features

You must still enter the new user’s Username, First name, Last name, and Password.

 

Option 3: Add a User from Active Directory

If your organisation has Active Directory integrated with Virtual Cabinet, you can import users directly from here.

Select the Add from Active Directory. A list of business users who are in Active Directory but not yet in Virtual Cabinet will be displayed. Tick the user or users you wish to add.

On the right-hand side, choose a template user, similar to the copy method. When ready, select Add User to create the account with the chosen template settings.

This completes the process of adding a user to Virtual Cabinet using Active Directory.
