Enable the Delete and/or Destroy + Restore Functionality for a User

This article Describes How to Enable the Delete and/or Destroy functionality for a user.

More Information:

There are two methods of removing a document; one of them is delete, in which the document is just not showed in the search results; the other one is destroy, in which the document is effectively and irreversibly removed from VC. Please be warned once a document is destroyed it can no longer be recovered.

Solution:

Find the user you wish to give the delete/destroy functionality to, your will need to log on as an admin user to be able to see all users in your VC system.

  1. Go to View users
     
  2. Select the user in question.
     
  3. Click edit.
     
  4. Take note of the Access Profile

  5. Click on 'Member Of'
  6. Take note of all the groups the user is a member of.

Delete Rights

Search for the document in question (the one that you want to enable to delete/destroy), make sure right click on the column headers and make sure that Security name is ticked, this will reveal the security name that is associated with the document.

Take note of the security name (General Security in our example).

To allow delete for that security name.

  1. Go to the admin tab.
     
  2. Go to security profiles.
     
  3. From our example you can see that the security name is General Security.

  4. From the security profile screen, you will be able to change who can View/edit/delete/re-index for any group; e.g general security is only visible+editable+deleteable+reindexable for the Admin Users Group. From this screen we can change this and give another group the right to delete. (remember that for a user to be able to delete, they must also be able to View). So in this example, you could add Aidan.Hickey to the Admin Users Group to give him that ability.
     
  5. From this section we can also give individuals the right to View/edit/delete/re-index, for example we might want Aidan.Hickey to be able to View/edit/delete/re-index, but we might not want to give the group “Everyone” that right, however WE STRONGLY DISCOURAGE THIS FORM OF CONTROL, INSTEAD A GROUP SHOULD BE CREATED TO DEAL WITH EVERY KIND OF SECURITY AND MEMBERS SHOULD BE ADDED/ REMOVED ACCORDINGLY.
     

Destroy or Restore

The destroy function is granted by the access setting that a user is allocated to. An access setting will apply to every user that has the same access setting. In our example we would be giving all the users with the “Admin User” Access setting the right to destroy. For this reason we suggest creating a new access setting unless you do require all users with that access setting to have the delete / destroy functionality.

  1. Go to Admin tab, View Access Settings and edit the access setting you wish to grant “Destroy / Restore” functionality. There will be a tick box option to select the Destroy and Restore functionality. In our example, we’re giving it to the “Admin Users” access profile only.

  2. Close Virtual Cabinet and log back in for setting to take effect. Once logged back in, go to Search tab and select Virtual Cabinet on right hand side, under ‘Search Criteria’ (this will search everything in VC). In the bottom right search index select ‘Choose Indexes’. Tick the box for ‘Search Deleted Only’. This will allow you to search for the deleted documents, select a deleted document or multiple docs you would like to Restore or permanently Destroy.
