How to Edit and Create Access Settings

Access Settings are configurations that allow different types of users to have access to different parts and actions within the system. Each User is associated with an Access Setting that describes the operations and areas that they can perform within the system.

View Existing Settings

  1. Open the Virtual Cabinet (VC) admin tab.
  2. Click Users and then View Users.
  3. Select target user.
  4. Click Edit from the toolbar at the top of the window.
  5. Observe Access Profile in their profile, you may need to scroll down slightly to see this.

 

Editing Access Settings

  1. Open the Virtual Cabinet admin tab.
  2. Click the Access Settings link.
  3. You will be presented with a list of all your currently setup Access Settings profiles.
  4. Double click on a profile, or click one and press Edit from the to modify an existing Access Setting.
  5. You can add new Profiles by clicking the Add button on the toolbar.

Tip

We recommend when possible copy an existing Access Setting, as most of the times you will want to have an existing type of user that has an extra level of access; e.g. a standard user that is also able to Scan Documents/extract files/destroy files, and it's much more simple to just copy one and add an extra tick in the options.

Access Settings Details

Access Settings are divided by in two large sections: General Settings and Admin Settings.

General Settings

General settings define what you are able to do within Virtual Cabinet as a whole, these settings include, but are not limited to:

  • Access to see the Scanning tab.
  • Access to see the Intray tab.
  • Access to see the Search tab.
  • The ability to destroy and restore documents.
  • The ability to create documents via templates.
  • The ability to call to various pre configured integrations via documents directly.
  • The ability to view User, Process and Portal reports.

Admin Settings

Admin Settings define what you can see in the Admin tab of Virtual Cabinet.

By default you won't be able to see the Admin tab, however once you're granted to see anything there it will become an option for you once you close and reopen your VC client.

These settings include but are not limited to:

  • The access to view, add and amend VC users.
  • Access to administer your portal settings.
  • Access to update your license information.
  • Access to Email Indexing Defaults settings.
  • Access to amend and view scanner profile settings.
  • Access to view, add and amend new tasks and processes.
  • Access to view, add and amend index fields on cabinet.
  • Access to view, add and amend static lists.
