Introduction: Packs are a convenient way of grouping related documents together. Packs can contain documents from In-trays or Filing Cabinets and can be managed from the In-tray or Search tabs. A document will stay in that pack if it is moved or re-indexed. One document can be in any number of different Packs, when performing a search, you will see your packs tab update with all the packs that are pertinent to that search (i.e. the search contains at least one document that is in a pack, thus the whole pack will show, even if not all the documents in that pack were pertinent to the search)
To create a new pack or view the packs associated to the documents you are viewing you need to go in to the Packs panel.
There are several different ways you can create a new pack:
- Click the new pack button in the Pack panel. This will create an empty pack and ask you to give it a mandatory title. If you do not add any documents to this pack before you do another search the pack will disappear.
2. Right click on a document(s) and select Packs -> New Pack. This will create a new pack in the Packs panel with the selected document(s) attached, it will now ask you to give it a mandatory title.
To add new documents to a pack you can use any of these options:
- Left click on a document and drag and drop it on to the Pack you want to put it in.
2. Make sure the Pack and documents are selected, then right click on the selected document and go to Packs -> Add Document. You can also right click on the Pack and use “Add selected documents”.
Favourite Packs:
You can group Packs into a list of favourites. These favourite Packs will appear at the top of the Packs panel and will appear no matter what documents you have in your document list, or what you search for.
To make a pack a favourite click on the star to the left of the pack name.
Marking a Pack as a favourite is an ideal method of generating a pack that contains documents from different cabinets.
The process would start by creating a pack with at least one document from Cabinet “A”, Favouriting that Pack, performing a search on Cabinet “B” and then dragging a document to that Favourited Pack, the process can be repeated as many times as necessary.
Publishing Packs:
Creating Packs is also an ideal way of generating a complex set of documents to publish to your client, as a pack can be built by different members of your staff (each adding a different document for example) before reaching a portal publisher that would simply need to right click on the Pack and select Portal Publishing
