How To - Activate a VC user to use VC Mobile

This article describes how to activate a user to allow them to start using the VC mobile app.

Once you’ve applied your new licence you will now need to decide which of your users should be able to access Virtual Cabinet through the App.

To give a user access to the App:

 

  1. Log in to Virtual Cabinet as an administrator,
  2. Go to the Admin tab,
  3. Click View Users,
  4. Edit a User,
  5. Tick “Allow access via Mobile App”

 

 

If the “Allow access via Mobile App” option is not available, you might need to arrange an upgrade to the latest version of Virtual Cabinet. If the option is disabled, then you have run out of individual user licences for the App and should contact your Account Manager if you would like to purchase more.

 

 

Downloading the App:

The App is available for free on the Apple App Store and Google Play and is compatible with the iPhone, iPad and the latest version of Android.

 

Logging in to the App

No one likes typing in long usernames and passwords, so we’ve made logging in to the App incredibly easy, and still secure!

  1. Log in to Virtual Cabinet from your computer,
  2. Click on the circle in the top left, and choose “Link with App”, this will give you your unique QR code:

 

  1. Launch the App on your phone/tablet and it will prompt you to scan the QR code,
  2. Just hold your phone’s camera up to the screen, and “voila” you’re in to the App!

 

Troubleshooting

If you’re having issues setting up the Mobile App here are some troubleshooting tips…

 

  • After applying a new licence try restarting the Business Layer and Mobile Service on the server.
  • After giving a user access to the Mobile App they may need to close and re-open Virtual Cabinet to access the option to generate a QR code.
  • If you have any issues with the QR code, simply create a new one, you’re not licenced for the number of these you create.
  • For diagnosing connectivity issues take a look at the Mobile Service logs which are located on your server in this location: C:\ProgramData\Lindenhouse Software Ltd\VirtualCabinet.MobileService\Log\
  • Get your users to update the Mobile App regularly to receive bug fixes and features improvements. Likewise, we recommend updating Virtual Cabinet regularly.
  • If it takes a long time to open a document on the App then check the Internet upload speed on your server. We need to upload a document from the server before it can be downloaded by the App.
  • The Virtual Cabinet server must have access to the internet to allow communication between the App and your Virtual Cabinet system. Specifically, the below endpoints may need to be added to your firewall for outgoing communication with AWS. Please consult your support team if you are unsure about your region (N.B. all UK sites will be in the London region, and all Australian sites will be in the Sydney region).
