Scanning Documents

The Scan tab lets you scan paper documents directly into Virtual Cabinet using a connected scanner.

To access it, click Scan in the ribbon at the top of the window.


Before You Scan

  1. Make sure your scanner is plugged in and switched on.
  2. Load the pages into the scanner.
  3. Select a Scan Setting from the dropdown. Your administrator configures these. If only one exists it will be selected by default.
  4. Choose a destination: Intray (select which intray from the dropdown) or Filing Cabinet (you will be prompted to index the document immediately after scanning).
  5. Optionally enter a file name. The default is "Scanned Document".
  6. Click Scan.


Scan Settings

Each scan setting is a pre-configured profile controlling things like file type (PDF, TIFF, JPG), colour mode (black and white, greyscale, colour), single or double-sided scanning, and how the document is split (single file, one page per file, or split by barcode separator sheet).


After Scanning

If the scan setting uses Manual Approval, you will be shown a preview and asked to Approve and Send or Discard. You can also Append additional pages before approving.

In the preview, you can reorder pages by dragging them in the thumbnail panel, delete unwanted pages using the Delete Page button, and rotate individual pages clockwise or anticlockwise.
