Searching for Documents

The Search tab lets you find any document stored in Virtual Cabinet that you have permission to access.

To access it, click Search in the ribbon at the top of the window.

 

How to Search

  1. In the left pane, select a Cabinet or Folder to search within. Selecting the top-level Virtual Cabinet option searches across all cabinets and intrays.
  2. Use the global search bar at the top to search across all index and system fields at once.
  3. Optionally use the Search Criteria fields below to narrow your results by specific fields such as Client Code, Client Name, Description, Entry Date, or document type.
  4. Click Search.

Using at least 2-3 fields gives better, more targeted results.

 

Search Operators

Each search field has an operator dropdown to the left. Options vary by field type: Text fields offer Equals, Not Equals, Starts With, Ends With, and Contains. Number fields offer Equals, Greater Than, and Less Than. Date fields offer Equals, Greater Than, Less Than, and Range.

 

Search Results

Results appear in the central panel as a list. You can single-click to select a document, double-click to open it, or right-click for a full list of actions. Results can be sorted by clicking a column header, filtered by typing below a column header, and grouped by dragging a column header to the group area.

 

View Options

In the top-right you can switch between List View (table of results), Preview View (list with a document preview pane), Content View (shows matching text snippets, requires content search to be enabled), and Thumbnail View (shows document preview images).

 

Saving a Search

Click Saved in the ribbon to save your current search criteria for quick access in future. Saved searches are private to your account and can also be accessed from the Home tab.
