The Reports tab gives managers and administrators visibility into how Virtual Cabinet is being used. Access to individual reports is controlled by Access Settings configured by your administrator.
To access it, click Reports in the ribbon at the top of the window.
Document Report
Shows the total number of documents stored across the system and the disk space they occupy, broken down by Cabinet. The Activity section shows how many documents have been added each month over the last 12 months, useful for predicting future storage needs.
Intray Report
Generates a bar chart showing how many documents each user and group currently has in their Intray, with a table of the underlying figures below the chart.
User Activity Report
Overview shows totals for users, Intray documents, documents in progress, and outstanding tasks, broken down per user and group. The Activity section shows a line graph of documents added, edited, and viewed over the last 30 days for a selected user or all users. This can help identify training needs or workflow bottlenecks.
User Audit Report
Lets you generate a detailed audit report filtered by user, date range, and action type. Action types include things like Document Indexed, Document Viewed, Document Deleted, User Logon, Portal Document Published, and many others. Use Add Columns to include document index fields in the report for additional context. Double-clicking a row opens the related document where you have access.
Portal Report
Available to Portal Publishers only. Shows multiple chart-based reports including: a dashboard overview, an aged documents report, a read status pie chart, an activity timeline showing publishing volumes over time, a disk space usage chart, and a recipient status report. Clicking into any chart filters the data table below it. You can right-click documents in the data table to access Portal Publishing actions directly.
Outstanding Tasks Report
Shows all currently incomplete tasks where you are the worker, owner, creator, or supervisor. You can filter by role, process, type, and worker. Tasks are displayed in a bar chart and a detailed list with columns for Task ID, Process, Task Name, Created, Due Date, Priority, Worker, and Supervisor. Double-click any task row to open it.
Completed Processes Report
Lets you search for completed processes by date range, process type, and document index values. Select a process in the results to see all its tasks listed to the right. Double-click a task to see its full history, the documents it relates to, and any comments added by users.
Export to CSV
Results from most reports can be exported to a CSV file for use in other tools.
