Filing Cabinets and File Stores

File Stores

A File Store is the top-level storage location on the server where Virtual Cabinet saves document files. Most sites have a single File Store. Multiple File Stores can be used to spread documents across different drives or servers.

To access: Admin tab, Filing Cabinets section, File Stores.

When creating a File Store, you must provide a Name, the Path on Server where files will be stored, the Language of documents (used by content searching), and a Wait interval in seconds between content indexer checks. A smaller wait interval means more frequent checks but may affect server performance.

 

Filing Cabinets

A Filing Cabinet is a top-level container for documents. Documents are stored directly in a Cabinet or within Folders inside it. Cabinets can be restricted to specific users and groups.

To access: Admin tab, Filing Cabinets section, Filing Cabinets.

When creating a Cabinet, you must set a Name, associate it with a File Store, assign a Section (which defines what document types can be filed here), and optionally set a default Security Profile. Allow users to add files controls whether documents can be indexed directly into the cabinet root rather than into a subfolder.

To control which users and groups can see the Cabinet, use the Add/Remove Groups and Add/Remove Users panels on the right side of the Cabinet window. Users in the Members list will see the Cabinet in their Search tab.

 

Folder Structure

Folders allow you to organise documents within Cabinets. Folders can be nested up to five levels deep.

To access: Admin tab, Filing Cabinets section, Folder Structure.

From the Folder Structure window you can Add Cabinet, Add Folder (inside the selected cabinet or folder), Copy, Edit, or Delete. Users must have Edit Hierarchies enabled in their Access Setting to make changes here.

Each Folder can have its own Security Profile and can optionally prevent users from indexing directly into it.
