Each person who uses Virtual Cabinet logs in as a separate User. Users have their own Intray, password, and Access Setting profile that controls what they can see and do.
To access: Admin tab, Users and Groups section, Users.
The Users list shows all active users. Tick Show All at the bottom to include deleted/inactive users, which appear in faded text and can be restored using the Restore button.
Note: users are not permanently deleted. They are placed into an inactive state. You can only restore a user if you have enough available licence slots.
Important: if a user has documents in Work in Progress when you try to delete them, the deletion will be blocked until those documents are saved or discarded. If they have documents in their Intray you will be warned before proceeding.
Creating or Editing a User
The recommended method for new users is Add Users from Active Directory or Copy from an existing user, as these carry across correct settings automatically. The Add option can also be used.
The User window has two tabs, General and Member Of.
General tab options include: Username (used to log in), First Name and Last Name, Password (minimum 12 characters), Windows UPN (links the account to a Windows login for auto sign-in), Two-factor Authentication (requires a TOTP code from an authenticator app on next login, available in version 5.5 and above), Access Profile (controls what the user can access), Intray Enabled (if unticked the user has no Intray), File Store (for the user's Intray location), Use Built-in Viewer (controls which documents open in the Virtual Cabinet viewer), Default Cabinet for Indexing and Searching, Show Email Suggestions (enables Outlook Addin suggestions), and Allow access via Virtual Cabinet Go (enables or disables the mobile app for this user).
The Member Of tab shows which Groups the user belongs to. Use Add or Remove to manage group membership.
