Admin - Lists and Indexing Profiles

Lists

Lists provide a set of predefined values that users can choose from when indexing a document. A list can be attached to any index field, and if Limited to List is ticked, users can only select from the list rather than typing freely.

To access: Admin tab, Structure section, Lists.

To create a list, click Add, give it a Name, then use the Add/Delete List Values panel to add individual values. Each value requires a name. Values can also be bulk imported from a text or CSV file using the Import option.

 

Indexing Profiles

Indexing Profiles allow users to file documents quickly using a pre-configured set of index values. When a profile is selected, the indexing fields are pre-populated, reducing the amount of information the user needs to type. A task can also be linked to a profile so that a workflow starts automatically when the profile is used.

To access: Admin tab, Structure section, Indexing Profiles.

Each profile requires a Name and a Filing Cabinet. You can optionally pre-fill the Section Value, individual index fields, and Security Profile. A Task Name and Task Generation mode (one task per document, or one task for all documents) can also be configured.

Indexing Profiles are particularly useful in high-volume environments where most documents follow a predictable filing pattern.
