Virtual Cabinet provides two ways to remove a document:
- Delete: the document is removed from normal search results, but can still be found by users with the correct permissions.
- Destroy: the document is permanently and irreversibly removed from Virtual Cabinet. Once a document is destroyed, it cannot be recovered.
To restore a deleted file, the user must have the correct Destroy / Restore permission enabled in their access setting.
Solution:
Before you can restore a deleted file, confirm that the user has permission to access deleted items.
Check the user's permissions
- Log in as an Admin user.
- Go to View Users.
- Select the user you want to check.
- Click Edit.
- Note the user's Access Profile.
- Click Member Of and note the groups the user belongs to.
If the user does not have the required access, you will need to update the relevant access setting in the Admin area.
View or edit access settings
- Go to the Admin tab.
- Select View Access Settings.
- Edit the access setting that should have Destroy / Restore functionality.
- Enable the Destroy and Restore option.
- Save the changes.
Note: The Destroy / Restore permission applies to every user assigned to that access setting. If possible, create a separate access setting for users who need this permission.
Find deleted items
- Go to the Search tab.
- Select Virtual Cabinet on the right-hand side under Search Criteria.
- In the search index area, select Choose Indexes.
- Tick Search Deleted Only.
- Run the search to display deleted documents.
This search will show deleted items that the user has permission to view.
Restore a deleted file
- Locate the deleted file in the search results.
- Select the file.
- Choose Restore.
- Confirm the action if prompted.
The file will be restored and will be available again in Virtual Cabinet according to your system settings and permissions.
Destroy a deleted file
If a user has Destroy permission, they may also permanently remove a deleted file by selecting it and choosing Destroy. This action cannot be undone.
